When you have a lot of emails to manage, you may need help organizing them and making sure they get to where they belong. One way to do this is through automated mail rules in gmail.
A mail rule is a type of Gmail filter that automatically performs an action on an incoming email, such as sending it to a label, deleting it, or forwarding it to another recipient. These filters are very useful for a number of reasons, including helping you avoid unnecessary clutter in your inbox or getting more out of your email experience by sorting emails into specific folders (or labels).
How to Create a Mail Rule
You can create a mail rule in Gmail by launching a web browser and logging into the Gmail service. You can choose to create a rule from scratch or use an existing message as a template for the filter. Once you’ve created a filter, you can import it to your other Gmail account and apply it to new messages.
The first step in creating a mail rule is to select the type of criteria you want to include in your filter. You can do this by using a combination of different options in the drop-down menu that appears after clicking the right-hand search icon on the Gmail interface.
For example, you can use the search options like: Date within and Search to find a particular word, phrase, or term in a message. This will allow you to create a filter that looks for all of the words in a message and only sends out those that match your criteria.
In the next step, you can add a label to any message that is filtered by this rule. This label can be anything from a subject line to an email body, so you have the ability to create a more organized inbox by adding labels to your filtered messages.
If you’re using a desktop computer, it’s easy to create filters in Gmail by clicking the settings button on the upper-right side of your screen and selecting “See all settings.” From here, you can create a new mail rule, then select “Edit” from the dropdown menu next to the rule.
When you edit a filter, you can change the criteria or remove it altogether. Once you’ve completed a filter, you can save it as an XML file and then import it to another Gmail account.
The other way to set up a mail rule is to select the email that you’d like to create a rule for from your inbox. You can do this by clicking on the three vertically aligned dots next to the “More” option in your toolbar and then choosing to Create a Filter from the pop-up menu.
Once you’ve chosen an email to create a filter for, click “Create Filter.” You’ll be asked to choose which actions you want to apply to the selected message. The choices you can choose are Delete, Mark it as read, or Star it.
